Getting Started

Photeria is a management platform built for real estate photography businesses. Whether you run solo or lead a team, it brings your jobs, clients, invoices, listings, scheduling, and billing into one dashboard.

Jobs are the core of your workflow in Photeria. Every photography order is a job, and everything else, clients, properties, appointments, listings, invoices, and tasks, flows through it.

Creating a job takes a few minutes through a five-step wizard. Start it with New Job from the Jobs page or the dashboard Quick Actions. Move between steps freely; Photeria skips the Questions step if none of your selected services use questions.

Once a job exists, the job detail page is where you view and edit everything on it: the property, the client, appointments, the invoice, tasks, and a full activity log of every change.

Every job's invoice is built from three kinds of line items: services, packages, and custom fees. Here's how each works and how to manage them.

Services, Packages, and Fees

Tasks are the internal work items your team completes to fulfill a job, things like "Edit Photos," "Upload to Gallery," or "QC Video." They keep your post-shoot workflow organized and accountable without manual hand-offs.

Delivery is the final step: it emails the client a branded message with links to download their media and view the property website, and stamps the listing as delivered.

The Appointments calendar is your visual schedule of every upcoming shoot. It plots each appointment on a time grid, shows the drive time between properties, and shades the hours when no photographer is free, so you can read your week at a glance and spot open slots. Find it

Listings

A listing is where your deliverables for a property live: photos, videos, 3D tours, floor plans, files, listing details, open houses, and a public property website that showcases it all. This guide covers how listings connect to jobs and how delivery works.

Understanding Listings

Listing details are the property info that appears on the public website: the title, description, price, quick facts, and amenities. You'll find them in the Listing Details section of a listing. Click Save after editing.

Photos are the heart of any listing. This guide covers uploading, ordering, visibility, and the hero slideshow.

Uploading and Organizing Photos

Photeria has a built-in editor so you can make quick fixes to listing images without opening separate software. Hover a photo and click the edit (wand) icon to open it. You can adjust the look, crop, blur, and add text in any combination before saving.

Beyond photos, you can showcase a property with videos, 3D virtual tours, and floor plans. Each is its own section on the listing and the website, and all of them support reordering, renaming, hiding, and deleting (in bulk too). See Customizing Listing Sections for section

Adding Videos and 3D Tours

Every listing is built from sections, and they're the building blocks of both your editing workspace and the public property website. You can reorder them, show or hide them, add new ones, and rename them. The order on the admin page is the order on the website.

Add upcoming showing dates to a listing so buyers know when they can visit in person. They show up on the property website automatically.

Managing Open Houses

These settings control who can see your listing's property website and downloads, what its URL is, and how it looks. Visibility toggles and URLs live on the listing detail page; all visual design happens in the Website Editor.

Ordering

Services are the foundation of your ordering system. Each one is a specific offering like interior photography, drone video, or virtual staging. Find them under Ordering → Services.

Packages bundle multiple services at a discounted price. They encourage clients to book more and simplify their decision. Find them under Ordering → Packages.

Questions collect extra information from clients during ordering, like a song preference for a video or a bedroom count. They can also adjust the order total based on the answer, which makes them a natural way to upsell. Find them under Ordering → Questions.

Square-footage-based pricing charges different rates by property size. Larger properties take more time and effort, so tiered pricing keeps your rates matched to the actual scope of work. You can tier both price and on-site duration.

A custom pricing catalog charges specific agents or brokerages different prices than your standard rates, for example a discounted rate for a high-volume agent. Build a catalog once, then attach it to any client who should get those prices. Find catalogs under Ordering →

Coupons are discount codes clients apply at checkout. Use them for promotions, first-order incentives, or negotiated deals, and either share the code or send a link that applies it automatically. Find them under Ordering → Coupons.

An order form is the public page where clients browse your services and packages and place an order. You can run several order forms at once, each at its own URL with its own selection, so you can tailor what different client types see. Find them under Ordering → Order Forms.

Clients order through a guided wizard on your order form. Knowing the flow helps you set up forms that convert well and helps you answer client questions. This walks through it from the client's side.

Customers

Your clients are the real estate agents and brokerages you work with. They live under Clients in the sidebar, split into two pages: Agents (individual agents) and Brokerages (the firms they belong to). Each has its own search, filters, and add/edit/delete.

Roles control what each team member can see and do. Rather than configure permissions person by person, you build roles with the right permissions and assign them. Find them under Team → Roles.

Service Types categorize what each team member can do: Photography, Videography, Drone, Virtual Staging, and so on. (Previously called "Skills".) They're what Photeria uses to figure out who's qualified to shoot a job.

Availability drives scheduling. Each team member sets their working hours and, optionally, connects Google Calendar so Photeria only offers times they're actually free.

Tasks track post-shoot work across your team: photo editing, gallery uploads, delivery emails, video QC, and the like. They're generated automatically from templates you configure, so nothing slips through the cracks.

Compensation plans define how your team gets paid. A plan bundles per-service payout rates, a mileage rate, and a same-appointment rate. Build a plan once, assign it to as many members as you like, and those rates feed Payroll so payouts calculate themselves. Find plans under

Payroll is where you review what each team member has earned and mark their payouts as paid. As appointments are completed, Photeria tallies what each photographer is owed from their compensation plan, so you always have a running total of who needs paying, with no spreadsheet

Property Websites

Every listing auto-generates a public property website with its photos, videos, 3D tours, floor plans, amenities, and details in a polished, branded layout. Share the link anywhere: yard signs, social posts, MLS.

Give a listing its own domain like www.123mainstreet.com. A memorable URL works much better than a long slug on yard signs, flyers, and social campaigns. You have two ways to set one up, both from the listing's Property Website section (or the URL & Domain panel in the Website

Reports

The Reports page gives you a read on how the business is doing: revenue, cash collected, jobs, client activity, and team and service performance, all for the period you choose. You can also export any of it as a CSV. Find it under Reports in the sidebar.

Integrations

Connect an AI assistant like Claude or ChatGPT to Photeria and run parts of your business by chatting with it. Once connected, you can ask it to look up jobs, listings, and account details, or edit listing text, in plain English instead of clicking through menus.

Sync your Photeria schedule with Google Calendar both ways: events on your Google calendars block scheduling in Photeria, and jobs you schedule in Photeria write to a Google calendar you choose. This keeps you from getting double-booked across your work and personal commitments.

Connect Dropbox to keep media flowing between Photeria and your own storage. It works two ways: videos you upload in Photeria land in Dropbox, and you can pull finished photos, videos, and floor plans from Dropbox into your listings. Any Dropbox plan works, including free.

Connect Stripe so clients can pay their invoices online by card, with payment and invoice statuses updating automatically and every transaction logged for your records.

By default, Photeria sends emails from a fallback photeria.io address with your reply-to attached. Verify your own domain to send from something like notify@yourdomain.com instead, for better branding and deliverability.

Configure your company profile, branding, custom domains, service areas, scheduling, and legal pages.

Settings

Your company settings hold your business identity: name, contact details, regional preferences, and social links. These appear in your portal header, emails, invoices, and on your public-facing pages. Manage them at Settings → Company. Save each section before switching tabs.

Branding controls how your portal, property websites, and client login page look. You set colors, upload logos and a watermark, and choose a login layout. Get there from Settings → Branding.

Custom domains let you use your own web address instead of the default Photeria URLs. You can set one up for your client portal, your property listing websites, and your email sending domain. Manage them at Settings → Domain.

Service areas define where you provide photography. Each area has its own boundary and optional travel fee. When a client orders, their property address is checked against your active areas to confirm you cover it and to apply the right travel fee. Manage them at Settings →

Scheduling settings shape the ordering experience: whether clients pick their photographer, whether same-day booking is allowed, how much buffer to leave between jobs, and how sun-dependent services are scheduled. Find them at Settings → Scheduling. All of these affect new

Legal settings hold the terms of service your customers must agree to before they can complete an order. Use them to set your usage rights, cancellation policy, and any other terms for your photography services. Manage them at Settings → Legal.

Photeria charges you per listing you photograph, bundled into one monthly invoice. This guide covers how platform billing works so there are no surprises.
