Managing Customers
In Photeria, your customers are the real estate agents and brokerages you work with. The Clients page gives you a central place to manage agent profiles, organize them by brokerage, and keep track of their contact details. This guide walks you through everything you need to know about managing your customer database.

The Clients page gives you a central place to manage agent profiles, organize them by brokerage, and keep track of their contact details. This guide walks you through everything you need to know about managing your customer database.
Getting to the Clients Page
Navigate to Clients in the sidebar. You'll see two tabs at the top: Agents and Brokerages. The Agents tab is selected by default.
The Agents Tab
Viewing Agents
The Agents tab shows a table of all agents in your organization with the following columns:
- Name - The agent's full name and profile photo.
- Email - Their email address.
- Phone - Their phone number.
- Brokerage - The brokerage they belong to (if assigned), shown with the brokerage's logo.
Searching and Filtering
- Search bar - Type in the search field to filter agents by name, email, phone number, or brokerage name.
- Brokerage filter - Use the All Brokerages dropdown next to the search bar to show only agents from a specific brokerage. Each brokerage option shows its logo for easy identification.
Adding a New Agent
- Click the Add Agent button in the top-right corner.
- The Add Agent dialog will open with several sections:
Agent Details
- Profile Photo - Upload an avatar by clicking the photo upload area.
- First Name (required)
- Last Name (required)
- Email (required) - Must be unique within your organization.
- Phone (required)
- Agent Title (optional) - For example, "Senior Agent" or "Broker Associate."
- Brokerage (optional) - Select from your existing brokerages, or choose "None."
Address
Use the address input to enter the agent's office or mailing address. The field supports autocomplete for easy entry.
Social Media
- Instagram - Enter their Instagram profile URL.
- Facebook - Enter their Facebook profile URL.
- LinkedIn - Enter their LinkedIn profile URL.
- Twitter/X - Enter their Twitter or X profile URL.
- YouTube - Enter their YouTube channel URL.
- TikTok - Enter their TikTok profile URL.
Internal Notes
Add any notes that are visible only to your staff. These won't be seen by the agent.
- Click Save to create the agent.
Editing an Agent
- Click the edit icon (pencil) on the right side of the agent's row.
- The Edit Agent dialog will open with all their current information pre-filled.
- Make your changes and click Save.
Unsaved changes protection: If you try to close the dialog with unsaved changes, you'll be asked to confirm that you want to discard them.
Deleting an Agent
- Click the delete icon (trash can) on the right side of the agent's row.
- If the agent has no associated jobs, a confirmation dialog will ask you to type the agent's name to confirm deletion.
- Click Delete to remove them permanently.
Important: Agents who have associated jobs cannot be deleted. You'll see a message explaining how many jobs are linked to the agent. This protects your job history and records.
Logging in as an Agent
If your role has the "Clients Impersonate" permission, you'll see a key icon in the agent's row actions. Clicking it opens a new browser tab logged in as that agent, letting you see exactly what they see in their portal. This is useful for troubleshooting or providing support.
The Brokerages Tab
Viewing Brokerages
Switch to the Brokerages tab to see a table of all brokerages with the following columns:
- Brokerage - The name and logo of the brokerage.
- Email - Their contact email.
- Phone - Their phone number.
- Website - Their website URL.
- Agents - How many agents are assigned to this brokerage.
Adding a New Brokerage
- Click the Add Brokerage button in the top-right corner.
- The Add Brokerage dialog will open with several sections:
Brokerage Details
- Brokerage Name (required)
- Email (optional)
- Phone (optional)
- Website (optional)
Address
Enter the brokerage's office address using the autocomplete address input.
Branding
- Logo - Upload the brokerage's logo by clicking the upload area or dragging and dropping an image file.
- Watermark - Upload a watermark image that can be applied to photos for this brokerage.
- Brand Color - Set the primary brand color using the color picker.
- Background Color - Set the background color for branded materials.
- Click Save to create the brokerage.
Editing a Brokerage
- Click the edit icon (pencil) on the right side of the brokerage's row.
- Update any fields and click Save.
Deleting a Brokerage
- Click the delete icon (trash can) on the right side of the brokerage's row.
- If no agents are assigned to this brokerage, a confirmation dialog will ask you to confirm.
- Click Delete to remove it.
Important: Brokerages with assigned agents cannot be deleted. You'll see a message telling you how many agents are still linked. Reassign or remove those agents from the brokerage first.
Linking Agents to Brokerages
When creating or editing an agent, use the Brokerage dropdown in the Agent Details section to assign them to a brokerage. Select "None" to remove the brokerage association.
Linking agents to brokerages helps you:
- Filter agents by brokerage on the Agents tab.
- Apply brokerage branding (logo, watermark, colors) to property websites and deliverables.
- Track agent counts per brokerage on the Brokerages tab.
How Customers Appear Elsewhere
Agent profiles created on the Clients page are used throughout Photeria:
- Job creation - When creating a job, you select the agent who ordered the work.
- Property websites - Agent details (name, photo, contact info, social links) can appear on the public property listing pages.
- Invoicing - Invoices are linked to the agent who ordered the services.
Permissions Required
- Viewing clients - Requires the "Clients Read" permission.
- Creating new agents and brokerages - Requires the "Clients Create" permission.
- Editing and deleting agents and brokerages - Requires the "Clients Manage" permission.
- Logging in as an agent - Requires the "Clients Impersonate" permission.
If you don't see certain buttons or actions, your role may not include these permissions. Contact your organization administrator to request access.
