Managing Skills
Skills help you track what each team member is capable of, such as photography, video editing, drone operation, or virtual staging. When assigning photographers to jobs, skills ensure the right person gets matched to the right type of work. Skills help you track what each team member is capable of, such as photography, video editing, drone operation, or virtual staging.
When assigning photographers to jobs, skills ensure the right person gets matched to the right type of work. This guide explains how to create skills, assign them to team members, and understand how they're used.
Getting to the Skills Tab
Navigate to Team in the sidebar, then click the Skills tab at the top of the page. You'll see a list of all skills available in your organization, along with how many team members have each skill.
Understanding Skill Types
There are two types of skills:
- System skills - Built-in skills that come with every organization. They're marked with a lock icon and a "System" badge. System skills cannot be deleted.
- Custom skills - Skills you create for your organization. These can be deleted if they're no longer needed.
Creating a New Skill
- On the Skills tab, click the Add Skill button in the top-right corner.
- The Add Skill dialog will appear.
- Enter a Name for the skill (for example, "Photography", "Video Editing", "Drone", or "Floor Plans").
- Click Create Skill.
The new skill will appear in the list and will be available to assign to any team member.
Deleting a Skill
- Find the skill in the list and click the delete icon (trash can) on the right side of its row.
- A confirmation dialog will appear warning you that deleting the skill will also remove it from all team members who currently have it assigned.
- Click Delete to confirm.
Note: System skills (marked with the lock icon) cannot be deleted. The delete button will only appear for custom skills that your organization has created.
Assigning Skills to Team Members
Skills are assigned through the team member edit dialog:
- Go to the Members tab on the Team page.
- Click the edit icon (pencil) next to the team member you want to update.
- In the Manage Team Member dialog, scroll down to the Skills section.
- Click on skill badges to toggle them on or off. Selected skills appear highlighted in your brand color, while unselected skills appear in a muted style.
- Click Save Changes.
You can assign multiple skills to a single team member, and a single skill can be assigned to many team members.
How Skills Are Used
Skills play an important role in job assignment:
- Job assignment filtering - When assigning a photographer to a job, the system can filter available team members based on the skills required for that job's services.
- Team capability tracking - Skills give you a quick overview of your team's capabilities. The member count next to each skill on the Skills tab shows you how many people can handle each type of work.
- Workload planning - By understanding which skills your team has, you can plan hiring and training to fill any gaps.
Searching Skills
Use the search bar at the top of the Skills tab to filter the list by skill name. This is helpful when you have many skills and need to find a specific one quickly.
Permissions Required
- Creating and deleting skills - Requires the "Team Manage" permission.
- Assigning skills to team members - Also requires the "Team Manage" permission, since it's done through the team member edit dialog.
If you don't see the Add Skill button or the delete icons, your current role may not include the required permissions.
