Google Calendar integration gives you two-way sync between Photeria and your calendar. Job appointments show up on your Google Calendar automatically, and events on your calendar block your scheduling availability so clients and team members never double-book you.

Google Calendar integration gives you two-way sync between Photeria and your calendar. Job appointments show up on your Google Calendar automatically, and events on your calendar block your scheduling availability so clients and team members never double-book you.
Before You Start
You will need a Google account with Google Calendar enabled. Any personal or Google Workspace account will work. Note that Google Calendar is connected per user, not per organization. Each team member who wants calendar sync needs to connect their own Google account from their profile.
Connecting Your Calendar
- Click your avatar or name in the bottom-left corner of the sidebar to go to My Profile.
- Click the Schedule tab at the top of the page.
- Scroll down to the Google Calendar card.
- Click the Connect Google Calendar button.
- A Google sign-in window will open. Choose the Google account you want to connect.
- Review the permissions and click Allow to grant Photeria access to your calendars.
- You will be redirected back to Photeria with a success message: "Google Calendar connected successfully!"
Once connected, the card will show which Google account is linked and display your calendar preferences.
Choosing Which Calendars to Watch
After connecting, you will see a list of all calendars in your Google account. There are two settings to configure:
Block Availability From
Toggle on any calendars whose events should block your scheduling availability. For example, if you have a "Personal" calendar with a dentist appointment on Tuesday at 2 PM, toggling that calendar on means no one can book you for a shoot at that time.
Each calendar is listed with its name and color dot. Your primary calendar is labeled "(Primary)." You can toggle as many calendars as you like.
Save Jobs To
Use the dropdown to pick which calendar new job appointments should be created on. When a job is scheduled in Photeria, a calendar event is automatically created on this calendar with the property address, time, and job details.
By default, this is set to your primary calendar, but you can choose any calendar in your account (for example, a dedicated "Work" calendar).
Saving Your Preferences
After making changes, click the Save Changes button to apply your calendar preferences. You can also click Refresh to reload your calendar list if you recently created a new calendar in Google.
How Two-Way Sync Works
- Photeria to Google Calendar - When a job is scheduled or updated, a calendar event is automatically created or updated on your selected "Save Jobs To" calendar. The event includes the property address, time slot, and a link back to the job in Photeria.
- Google Calendar to Photeria - Events on your watched calendars block your availability. When someone tries to schedule a job during a time that conflicts with an existing calendar event, that time slot will appear as unavailable.
Re-authorizing Your Connection
Sometimes Google may require you to re-authorize the connection (for example, if you changed your Google password or revoked access). When this happens, you will see a yellow warning banner on the Schedule tab that says "Calendar authorization expired." Click the Reconnect Google Calendar button to go through the sign-in flow again.
While re-authorization is pending, calendar sync is paused. Jobs will not create or update calendar events until you reconnect.
Disconnecting Google Calendar
- Go to My Profile > Schedule.
- On the Google Calendar card, click the Disconnect button in the top-right corner.
- Your calendar connection will be removed immediately.
Disconnecting does not delete any events that were previously created on your Google Calendar. It simply stops future sync. You can reconnect at any time by clicking Connect Google Calendar again.
Troubleshooting
No calendars appear after connecting
Click the Refresh button below the calendar list. If calendars still do not appear, try disconnecting and reconnecting your Google account.
Jobs are not showing up on my calendar
Make sure you have selected a calendar in the "Save Jobs To" dropdown and clicked Save Changes. Also check that your calendar connection has not expired (look for the yellow re-authorization warning).
My availability is not being blocked correctly
Confirm that the calendars containing your personal or other commitments are toggled on under "Block Availability From." Only events on watched calendars will block your scheduling availability.
