Every job's invoice is built from three kinds of line items: services, packages, and custom fees. Here's how each works and how to manage them.
Services
Services are the individual things you sell, like "Interior Photos" or "Drone Aerial Video." Depending on how your organization set them up, a service can be priced as:
- Fixed - one price regardless of property size.
- Square footage tiered - price follows the property's sqft; Photeria picks the tier when you enter the size.
- Quantity based - priced per unit (for example, per extra edited photo); you set the quantity.
Add a service from the Invoice card with Add Item, then search and pick it. It's added at its catalog price. Use the pencil icon to adjust quantity or price on this job, and the trash icon to remove it. Removing can't be undone.
Packages
Packages bundle several services at a discount, shown as a group with the individual prices struck through so the savings are clear. They can be priced as a set bundle price, a percentage off, a flat dollar amount off, or square-footage tiered.
Add a package the same way you add a service, via Add Item. Photeria adds the package and all its services together. Editing lets you override the bundle name and price. Removing a package removes its services too.
Custom fees
Fees are one-off charges or credits, like rush delivery or a travel surcharge. Add one with Add Fee, giving it a name and a dollar amount (positive for a charge). Edit or remove fees the same way as other line items.
Total and discount
The total is services + packages + fees β discount, plus tax. To apply a discount, click the pencil next to the Discount line and enter a flat dollar amount.
Creating and sending the invoice
Invoices aren't created automatically when a job is booked. One is created when the listing is activated, or when you click Create Invoice on the job. Until then the job won't appear on the Invoices page.
Once an invoice exists, Send Invoice emails the client a link to view and pay online (it becomes Send Reminder afterward). See Client Invoicing for the full workflow.
Recording payments
To log a payment received outside Photeria, open the invoice, click Add Payment, and enter the amount, method (cash, check, bank transfer, credit card, or other), date, and an optional note like a check number. The job's payment status updates automatically to Unpaid, Partial, or Paid, and the agent gets a receipt.
Tasks
Linking task templates to a service means tasks are created automatically for your team whenever that service is added to a job. See Task Management.
