Managing Clients
In Photeria, your clients are the real estate agents and brokerages you work with. They're managed on two dedicated sub-pages under Clients in the sidebar:

In Photeria, your clients are the real estate agents and brokerages you work with. They're managed on two dedicated sub-pages under Clients in the sidebar:
- Agents - individual real estate agents
- Brokerages - the firms agents belong to
Click Clients in the sidebar to expand the group, then click Agents or Brokerages. Each page has its own search, filters, table, and add/edit/delete flow.
Agents page
Columns
- Name - full name and profile photo
- Phone
- Brokerage - the firm they belong to (with logo), if assigned
Search and filter
- Search - name, email, phone, brokerage name, first name, or last name
- Brokerage filter - show only agents at a specific firm
Adding a new agent
Click Add Agent in the top-right. The dialog has several sections:
Agent details
- Profile photo (click to upload)
- First Name (required)
- Last Name (required)
- Email (required, must be unique within your organization)
- Phone (required)
- Agent title (optional, e.g. "Senior Agent")
- Brokerage (optional, search existing or select "None")
Address - office or mailing address with autocomplete
Social media - Instagram, Facebook, LinkedIn, Twitter/X, YouTube, TikTok (all optional)
Internal notes - visible to your staff only. Notes show up on every job for this agent.
Click Save to create the agent.
Editing an agent
Click the pencil icon on the agent's row. The dialog opens with current values pre-filled. Unsaved-changes protection prompts you before discarding edits.
Deleting an agent
Click the trash icon.
- If the agent has no jobs, you're asked to type "delete" to confirm, then they're permanently deleted.
- If the agent has jobs, Photeria blocks deletion and shows how many jobs are linked. This protects your records. Reassign those jobs to another agent first, or keep the agent.
Log in as an agent (impersonation)
If your role has Clients: Impersonate permission, you'll see a key icon on each agent row. Clicking it opens a new tab logged in as that agent, which is useful for support and troubleshooting. The agent isn't notified.
Agent detail page
Clicking an agent's name opens their detail page where you can see:
- All jobs associated with the agent
- All invoices
- Contact info and notes at a glance
Brokerages page
Columns
- Brokerage - name and logo
- Phone
- Website
- Agents - how many agents are assigned to this brokerage
Adding a new brokerage
Click Add Brokerage. The dialog has:
Details
- Brokerage name (required)
- Email, phone, website (all optional)
Address - office address with autocomplete
Branding
- Logo
- Watermark (applied to photos delivered for this brokerage, if configured)
- Brand color (primary)
- Background color
Editing a brokerage
Click the pencil icon. The dialog pre-fills with current values.
Deleting a brokerage
Click the trash icon.
- If no agents are assigned, you're asked to confirm and the brokerage is deleted.
- If agents are assigned, deletion is blocked and Photeria tells you how many are linked. Reassign those agents first.
Brokerage detail page
Clicking a brokerage's name opens the detail page with its agent roster, associated jobs, and invoices. Branding is edited via the Edit dialog.
Linking agents to brokerages
Agents can be assigned to a brokerage from either side:
- From the agent - use the Brokerage dropdown when creating or editing the agent.
- From the brokerage page - open an agent's edit dialog and pick the brokerage.
Benefits of linking:
- Filter the Agents page by brokerage
- Apply brokerage branding (logo, watermark, colors) to delivered media
- Group agents in reports
- See agent counts per brokerage
Keeping notes on a client
Each agent's detail page has a Notes tab, a running, formatted history of everything you want to remember about that client, turning their profile into a lightweight CRM. See Agent Notes.
Account managers
An agent can invite an account manager to help run their account on their behalf. This is set up by the agent from their own portal. See Account Managers.
How clients appear elsewhere
Agent and brokerage records are used across Photeria:
- Jobs - the agent is the client on the job; their notes show on every job card
- Listings - contact info and photo can appear on the public property website
- Invoices - linked to the agent who ordered the services
- Invoice filters - filter by brokerage on the Invoices page
- Reports - top clients and brokerage performance
Permissions
- Clients: Read - view agents and brokerages
- Clients: Create - add new agents and brokerages
- Clients: Manage - edit and delete agents and brokerages
- Clients: Impersonate - log in as an agent
If some buttons don't appear, your role doesn't include that permission. Ask an admin or someone with the Roles: Manage permission to adjust your role.
