Connect Dropbox to sync photos, videos, and floor plans between your Dropbox account and Photeria. Dropbox serves as both an upload destination for videos and a sync source for pulling finals into your listings.
Before you start
- A Dropbox account with storage for your media library. Any plan works, including free.
- Dropbox connects at the organization level, so everyone on the team shares one Dropbox connection.
Connecting
- Sidebar: Settings → Integrations.
- On the Dropbox card, click Connect to Dropbox.
- Sign in with Dropbox and grant Photeria access.
- You're back on the Integrations tab, connected.
The card now shows the connected account's email.
Root folder
After connecting, a Root Folder for Listings setting appears. This controls where listing folders are created inside Dropbox. Default is /Photeria.
To change it:
- Click Change next to the root folder path.
- The Folder Picker dialog opens showing your Dropbox folder structure.
- Navigate into folders by clicking them; navigate up using the breadcrumb trail.
- To create a new folder, click New Folder, type a name, and press Enter.
- Click Select This Folder to confirm.
Listing folder structure
Each listing gets its own Dropbox folder, created automatically when the listing is created or activated. The folder path follows this pattern:
{Root Folder}/YYYY/MM - Mon/Street AddressFor example: /Photeria/2026/04 - Apr/123 Main St
Inside each listing folder, five subfolders are created:
Finals/PhotosFinals/VideosFinals/FloorplansRaw/PhotosRaw/VideosIf two listings share the same street in the same month, the second gets a numbered suffix (e.g., 123 Main St 2).
On-demand folder creation
If a listing doesn't have a Dropbox folder yet (for example, the listing was created before Dropbox was connected), a Create Folder button with the Dropbox logo appears in the Media section header. Click it to create the folder structure immediately.
Syncing from Dropbox
The Sync feature lets you pull finished photos, videos, and floor plans from your Dropbox Finals folders directly into Photeria.
How to sync
- Open a listing → Media section.
- Click the Sync Folder button (Dropbox logo with a down-arrow).
- Photeria scans the
Finals/Photos,Finals/Videos, andFinals/Floorplansfolders. - A sync dialog opens showing all new files found.
The sync dialog
- Fetching phase - Photeria scans your Dropbox folders for new files.
- Syncing phase - files are downloaded and processed with a progress indicator.
- Review phase - review the results and click Save to add them to the listing, or Cancel to discard.
Files already in the listing are automatically skipped.
What gets synced
- Photos from
Finals/Photos- added to the listing's image gallery. - Videos from
Finals/Videos- linked directly from Dropbox. - Floor Plans from
Finals/Floorplans- added to the listing's floor plans.
Cancelling a sync
You can cancel at any time:
- During syncing: in-flight downloads are aborted and already-uploaded files are cleaned up.
- During review: uploaded files are deleted from storage since they haven't been committed to the database yet.
Opening a listing's Dropbox folder
Click the Open Folder button (Dropbox logo with an external-link icon) in the Media section header. This opens the listing's folder directly in Dropbox in a new browser tab.
Uploading videos to Dropbox
With Dropbox connected:
- Open a listing → Videos section.
- Click Add Video.
- Upload File tab - drag/drop or browse. Videos up to 150 MB are supported.
- Progress is shown in the dialog.
- The video lands in the listing's
Finals/Videosfolder and a shared link is created automatically.
The From URL tab is still available for pasting YouTube/Vimeo links instead.
If Dropbox is not connected, the Upload tab shows a warning banner with a Go to Integrations button.
Deleting videos
Removing a video in Photeria that was uploaded to Dropbox also deletes the Dropbox file. Dropbox stays in sync with your listings.
Disconnecting
- Settings → Integrations → Dropbox card → Disconnect.
- Confirm.
Your Dropbox files stay. Future uploads and syncs are blocked until someone reconnects.
Troubleshooting
"Dropbox connection expired" when uploading
Authorization was revoked or expired. Go to Settings → Integrations and reconnect.
"Sharing permissions not available"
Photeria needs permission to create shared links. Team-plan Dropbox admins sometimes restrict sharing, so contact your Dropbox admin.
Upload stuck / times out
Large files may take a while on slow connections. Also check Dropbox storage isn't full.
No Upload tab in Add Video dialog
Dropbox isn't connected. The dialog shows a warning with a link to Settings → Integrations to connect.
Sync found 0 new files
All files in your Finals folders are already in the listing (matched by filename). If you've re-edited files, rename them or remove the old versions from the listing first.
Listing has no Sync button
The listing doesn't have a Dropbox folder path yet. Click the Create Folder button to set one up, then the Sync and Open buttons will appear.
