Managing Tasks
Tasks let you assign and track post-shoot work across your team: photo editing, gallery uploads, delivery emails, video QC, and more. Tasks are generated automatically from templates you configure, so nothing falls through the cracks.

How tasks reach your team
- You create task templates under Ordering β Tasks.
- You link templates to services (in the service dialog's Tasks section).
- When a job is created with those services, task instances are generated automatically and assigned to the right person.
No manual step needed; tasks appear on the job and on the assignee's dashboard.
Assignment modes
Each template defines how tasks are assigned:
- Specific Person - always goes to one named staff member.
- Whoever Shot It - goes to the photographer on the appointment. If the photographer is reassigned later, the task follows automatically.
- Skill-Based Routing - automatically picks from qualified staff using one of three rules: Round Robin, Least Assigned, or Lowest Current Load.
Where team members see their tasks
My Tasks dashboard widget
Each staff member with task completion permissions sees a My Tasks widget on their dashboard, grouped into:
- Overdue (red) - past due
- Due Today - due today
- Upcoming - future tasks
Each task links to its job. Check the checkbox to complete it instantly.
Job detail page
The Tasks card on each job shows all tasks for that job, pending first, then completed. Each task displays the assignee, due date, service badge, and an expandable instructions section.
Automatic lifecycle updates
Tasks stay in sync without manual intervention:
- Appointment rescheduled - task due dates recalculate automatically.
- Photographer reassigned - "Whoever Shot It" tasks re-assign to the new photographer.
- Service removed from job - pending tasks for that service are cleaned up. Completed tasks are preserved.

Three permissions in the Tasks category:
The Admin role includes all three. Other roles need them granted explicitly under Team β Roles.
