Roles and Permissions
Roles control what each team member can see and do. Instead of configuring permissions per person, create roles with the right permissions and assign them to team members.

Getting to Roles
Sidebar: Team β Roles. You'll see every role with a member count.
Role types
- System roles - built-in, marked with a lock icon and System badge. Can't be edited or deleted.
- Custom roles - yours, fully editable.
Creating a role
- Click Add Role in the top-right.
- Enter a Role Name ("Photographer", "Editor", "Manager", etc.).
- Under Permissions, expand categories in the accordion and check the permissions you want.
- Check the category checkbox to grant everything in that category.
- Expand to check individual permissions.
- Click Create Role.
Role names must be unique within your organization.
Editing a role
- Click the edit icon (pencil) on the role's row.
- Update the name or toggle permissions.
- Click Save Changes.
You can't remove admin access from your own role to prevent locking yourself out.
Deleting a role
- Click the trash icon on the role's row.
- Confirm.
If members are still assigned to the role, deletion is blocked, and Photeria shows how many are linked. Reassign them to a different role first, then delete.
System roles can't be deleted (no trash icon appears).
Permission categories
Permissions are grouped into categories. Summary:
Listings
View all listings, view only assigned listings, update listings, delete listings.
Jobs
View all jobs, view only assigned jobs, create jobs, update jobs, delete jobs, assign photographers.
Clients
View clients, create clients, manage clients (edit/delete), impersonate agents (log in as).
Invoices
View invoices, manage invoices (edit line items, record payments, send).
Payroll
View payroll earnings and payout runs, or manage payroll (record adjustments and mark payouts as paid). See Payroll.
Services
View and manage the ordering catalog (Services, Packages, Questions, Order Forms, Catalogs, and Coupons).
Team
View team members, invite and manage members, manage Service Types.
Roles
View roles, manage roles (create/edit/delete, assign to members).
Billing
View the Billing page, manage billing (add/change payment method).
Settings
View and manage organization settings.
Tasks
Manage task templates (create, edit, delete, toggle), complete tasks assigned to you, or complete all tasks regardless of assignee. See Task Management.
Marketing
View and manage marketing materials and email/SMS templates.
Reports
View the Reports page.
Assigning roles
Done on the Members page:
- During invite - pick from the Role dropdown in the Invite Team Member dialog
- After joining - edit the member and change their role
Permissions
- Roles: Read - view the Roles page
- Roles: Manage - create, edit, and delete roles
Missing the Add Role button or edit/delete icons? Your role doesn't include Roles: Manage.
